Application assessments, pre-employment checks and references

Automated decision-making
Recruitment processes are not based solely on automated decision-making.
We will tell you beforehand if we use any automated forms of assessment in our decision making processes. You have the right to request that your application is not assessed by automated processes.
How does Educational Art and Craft Supplies Ltd protect data?
Educational Art and Craft Supplies Ltd takes the security of your data seriously. We maintain internal policies and controls that are designed to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by our employees in the proper performance of their duties.
Ways in which data is protected include include having in place a Data Protection Policy, adhering to Data Retention Protocols, restricting access to data to only those staff who need to access it as part of their duties, using password protection, applying firewall protection and encryption technology, using disposing of paper documents containing personal data by shredding, using lockable filing cabinets and training staff in the importance of data security.
Where Educational Art and Craft Supplies Ltd engages third parties to process personal data on our behalf, they do so only on the basis of written instructions, are under a duty of confidentiality and are obliged to implement appropriate technical and organisational measures to ensure the security of your data.
For how long does Educational Art and Craft Supplies Ltd keep data?
In line with data protection principles, we will only keep your data for as long as we need it. If your application for employment is unsuccessful, we will hold your data on file for one year after the end of the relevant recruitment process.
If you agree to allow Educational Art and Craft Supplies Ltd to keep your personal data on file, we will hold your data on file for consideration for future employment opportunities. At the end of that period your data is deleted or destroyed.
If your application for employment is successful, personal data gathered during the recruitment process will be kept and transferred to your personnel file and retained during your employment. The periods for which your data will be held are set out in our data retention protocols.
What if you do not provide personal data?
One of the reasons for processing your data is to allow Educational Art and Craft Supplies Ltd to carry out an effective recruitment process. Whilst you are under no statutory or contractual obligation to provide data to Educational Art and Craft Supplies Ltd during the recruitment process, if you do not provide the information, we may not be able to process your application properly or at all.
Your rights

- the right to restrict the processing of the data. For example, if you believe the data we hold is incorrect, you can ask us to stop processing the data (whilst still holding it) until it has been corrected
- the right to portability. You may transfer the data that we hold on you for your own purposes to another organisation
- the right to object to the way we use or process your data
- the right to regulate any automated decision-making and profiling on the basis of your personal data. You have a right not to be subject to automated decision making in way that adversely affects your legal rights.
Where you have provided consent to our use of your data, you also have the unrestricted right to withdraw that consent at any time. There will be no consequences for withdrawing your consent. Withdrawing your consent means that we will stop processing the data that you had previously given us consent to use, however we may continue to process your data if we have a statutory reason or lawful basis for doing so.
